AI usage guide­lines for agen­cies and ser­vice providers

In the world of ser­vices, gen­er­a­tive arti­fi­cial intel­li­gence (AI) is fun­da­men­tal­ly chang­ing the way we work. As a rel­a­tive­ly young technology, AI is still in the test­ing phase. There­fore, it is essen­tial that we explore and assess both the pos­si­bil­i­ties and the lim­i­ta­tions and risks of these tech­nolo­gies.
To ensure respon­si­ble use of AI, we have estab­lished guide­lines that are reg­u­lar­ly updat­ed. These guide­lines define how we and our part­ners use AI—and how we do not. At the same time, they pro­vide trans­paren­cy to our cus­tomers regard­ing our use of AI.

In doing so, we follow Ethan Mol­lick­’s four prin­ci­ples of AI usage:

Scope of Appli­ca­tion

This policy applies to all employees, con­trac­tors, and exter­nal part­ners who use AI tech­nolo­gies on behalf of our com­pa­ny. It covers the use of all AI-pow­ered tools and plat­forms inte­grat­ed into our busi­ness process­es, regard­less of whether they are used for inter­nal pur­pos­es or in the deliv­ery of ser­vices to clients.

Pur­pose

This policy aims to govern the use of AI in a way that enhances our oper­a­tional effi­cien­cy, fos­ters innovation, and ensures the integri­ty and secu­ri­ty of our ser­vices. It is designed to ensure that all AI-relat­ed activ­i­ties align with our eth­i­cal stan­dards and comply with legal reg­u­la­tions as well as indus­try best prac­tices. This includes pro­mot­ing trans­paren­cy, ensur­ing data integri­ty, and pro­tect­ing the pri­va­cy of our cus­tomers and employees.

Trans­paren­cy

We are com­mit­ted to open communication regard­ing the use of AI tech­nolo­gies within our com­pa­ny. Information about the use of AI tools is com­mu­ni­cat­ed clear­ly in cus­tomer inter­ac­tions and made pub­licly acces­si­ble on our web­site. This ensures that all stake­hold­ers under­stand how AI sup­ports and enhances our process­es.

Data pro­tec­tion and secu­ri­ty

The pro­tec­tion of personal and sen­si­tive data is at the core of our AI strat­e­gy. We only use AI tools that have under­gone exten­sive secu­ri­ty assess­ments and comply with data pro­tec­tion stan­dards, such as the GDPR. We imple­ment strict secu­ri­ty mea­sures to ensure that all data used in AI appli­ca­tions is safe­guard­ed against unau­tho­rized access and misuse.

Respon­si­bil­i­ty and ethics
  • Respon­si­bil­i­ty: Every user of our AI sys­tems is respon­si­ble for the cor­rect appli­ca­tion of the technology and for ver­i­fy­ing the accu­ra­cy of AI-gen­er­at­ed results.
  • Ethics: It is strict­ly pro­hib­it­ed to use our AI sys­tems for cre­at­ing or dis­trib­ut­ing con­tent that could be mis­lead­ing, manip­u­la­tive, or dis­crim­i­na­to­ry. All AI-gen­er­at­ed out­puts must adhere to eth­i­cal guide­lines that ensure fair­ness and objec­tiv­i­ty.
  • Review and Mon­i­tor­ing: Reg­u­lar review of AI out­puts by qual­i­fied per­son­nel is manda­to­ry to ensure accu­ra­cy and eth­i­cal com­pli­ance.

Respon­si­bil­i­ty and ethics Pro­hib­it­ed use

Kl must not be used in the fol­low­ing con­texts:

  • Auto­mat­ed con­tent cre­ation that is not labeled as such.
  • Vio­la­tions of data pro­tec­tion rights.
  • Manip­u­la­tive design of user inter­faces.
  • Cre­ation of mis­lead­ing or false rep­re­sen­ta­tions in advertising mea­sures.

Train­ing and fur­ther edu­ca­tion

We are com­mit­ted to thor­ough­ly train­ing all rel­e­vant team mem­bers on this AI usage policy and pro­vid­ing reg­u­lar ongo­ing edu­ca­tion and train­ing ses­sions.

These train­ing ses­sions aim to raise aware­ness of the safe and eth­i­cal use of AI while ensur­ing that our team remains tech­ni­cal­ly pro­fi­cient and up to date with the latest advance­ments in the technology. To achieve this, we par­tic­i­pate in weekly train­ing ses­sions and mas­ter­class­es at the Decaid Acad­e­my.

Mon­i­tor­ing and enforce­ment

Com­pli­ance with this policy is ensured through reg­u­lar inter­nal reviews. Vio­la­tions of this policy are taken seri­ous­ly and may result in dis­ci­pli­nary action.
